How Billing Works

Understand DocuNero's billing cycle, prorating, and payment processing. This guide explains how billing cycles work, how upgrades and downgrades are handled, and what to expect when you modify your plan.

Secure Payments

DocuNero uses Stripe—a secure, industry-leading global payment platform—to manage subscriptions, payments, invoices, and billing updates.

1. Billing Cycle Overview

DocuNero subscriptions follow a monthly billing cycle by default (yearly plans coming soon).

When you subscribe:

  • Your billing period starts immediately
  • You gain instant access to the features in your selected plan
  • Your usage limits (scan quota) reset on each renewal date

Example

If you subscribe on March 10, your next billing date is April 10.

You can view your next billing date anytime under:

Billing → Current Plan

2. Payment Processing

All payments are securely processed through Stripe.

Stripe handles:

  • Credit & debit card payments
  • Secure card storage (PCI compliant)
  • Automated renewals
  • Email receipts and invoices
  • Failed payment retries (smart retries)

Security First

DocuNero never stores your card details — everything is encrypted and managed through Stripe.

3. Upgrading Your Plan

You can upgrade at any time.

When you upgrade:

  • The upgrade takes effect immediately
  • Stripe automatically prorates the cost
  • You are charged only for the remaining days in your current billing cycle
  • New limits (e.g., higher scan limits, team features) unlock instantly

Prorated Billing

If you're halfway through your Starter plan and upgrade to Pro, you only pay the difference for the remaining days.

4. Downgrading Your Plan

You can downgrade anytime, but:

  • The downgrade takes effect at the next billing cycle
  • Your current plan remains active until the period ends
  • No partial refunds are issued
  • Some features (e.g., team access, approval workflow) will change when the lower plan activates

Scheduled Changes

You will not lose access immediately — changes are scheduled for the next renewal.

5. Canceling Your Subscription

You may cancel at any time.

When you cancel:

  • Your subscription stays active until the end of your billing cycle
  • You will not be charged again
  • No refunds are provided for unused time
  • You retain access to your documents and exports

Reactivate Anytime

After cancellation, you can choose a new plan at any time.

6. Failed Payments & Grace Period

If Stripe cannot process a renewal payment:

  • Stripe automatically retries the payment over several days
  • You will receive emails to update your payment method
  • Your plan may enter a grace period

If payment continues to fail:

  • Your plan may be paused
  • You may revert to the Free plan
  • Some features or scan limits will be restricted

Update Anytime

You can update your card anytime through: Billing → Current Plan → Manage Payment

7. Billing Notifications

Stripe sends email notifications for:

  • Successful payments
  • Failed payments
  • Upcoming invoice reminders
  • Subscription updates
  • Cancellations

Stay Informed

Make sure your email address is up-to-date in account settings.

8. Viewing Past Invoices & Receipts

All your invoices and payment receipts are stored in your Billing Portal.

You can access them via:

Billing → View Invoices

Each invoice is downloadable as a PDF.

9. Taxes & Currency

DocuNero billing:

  • Is processed in USD (unless regional pricing is enabled later)
  • Displays taxes where required based on your location
  • Shows tax breakdown directly on your Stripe-hosted checkout and invoice pages

10. Changing Payment Method

You can update your card at any time:

  1. Go to Billing
  2. Select Current Plan (tab)
  3. Click Manage Payment
  4. Stripe opens a secure link
  5. Add or replace your card

Changes apply instantly.

11. Refund Policy

DocuNero does not offer refunds for:

  • Partial months
  • Unused scan limits
  • Early cancellation

Full Access

Your plan remains active until the end of your billing cycle.

Frequently Asked Questions

When will I be billed for my subscription?

You are billed at the beginning of each billing cycle. For monthly plans, this is the same date each month.

Can I change from monthly to yearly billing?

Yearly plans are coming soon. Currently, all subscriptions are monthly.

What payment methods do you accept?

We accept all major credit and debit cards through Stripe's secure payment platform.

How do I update my billing information?

Go to 'Billing → Current Plan (tab) → Manage Payment' Update Payment Method to securely update your card details.
